raid scheduling (external to WoW)

My guild is having some trouble ensuring that we have enough people online for 25 mans, I think its because we just don't have a very good idea of when everyone's weekly schedule matches up.

I'm looking for some sort of web based application that is free (or free on a trial) that I can have my guild members quickly fill in what days/times they are available each week so that we can rework our raiding schedule for KZ and 25 man raids.

Anyone know of anything that would assist in this?

Ideally I suppose this would be an app that functions somewhat like google calendars so you can see how everyone's time slots match up, but I suppose that a polling app of some sort that allowed people to select days/times and then listed who fits in each day/time slot would work too.

Edit - I'll clarify on the external bit. I have a hard enough time getting people to download and update our guild RDX package, so it would be easiest for everyone if we can find an external app that does this rather than an in-game addon.

If you're just trying to set up when to do raids and would be consistent with it thereafter, you can have everyone put events on a shared Google Calendar and look for gaps (or overlaps, depending if you use events to indicate free time or unavailable time).

I'm currently programming Warmath, which is in closed beta (you can request access for your guild by PMing me on http://forums.subcreation.net/), which includes raid signups, though it is part of the greater DKP system.

If folks have suggestions as to what they'd like to see in raid sign ups, I'd love to read them, as I'm planning to improve Warmath's sign up system. Specifically, here's what's currently there:

- Admins can schedule a raid, indicate what times it starts and what bosses
- People can sign up
- They're listed by satout dkp (a concept Warmath uses to keep track of who's sitting out, so we can rotate people in and out, given class balance)
- Each boss marked is also listed, with people sorted into Tank/Heal/DPS along with the loot people want (Warmath uses wishlists to have people mark what loot they want)

Features I'm planning to add:
- Letting people set whether they're Tank/Heal/DPS (e.g. feral druid would be only Tank, Shadow Priest only DPS, MS/Flurry warrior could be Tank/DPS) [not sure if I want a 'main tank' field, since there's generally only 1 such person within a raid and he or she is known]
- Condensing sign ups to one sign up per instance, per week -- we currently do Karazhan over 2 or 3 days and folks don't like to sign up 3 times and would rather just sign up once and indicate what days they can or can't make.
- Indicating what times people sign on and need to sign off, so as to provided an "estimated feasible starting time" and "likely end time" as judged by parameters that can be set (e.g. need X tank, Y Heal and Z dps)
- Changing it from the sign up/not signed up dichotomy to a sign up/unknown/can't make it tuple.

Thoughts on other stuff you'd like to see?

Sorry if this sounds simplistic, but have you tried a Forum signup page?. We tried a few methods, but it came down to simply posting a raid in the Schedule section with a deadline for signups. Works pretty good for us and we run three Kara groups each with their own signup thread, same for Gruuls lair.
I guess if you are looking for something more automated RaidNinja requires less manual labour.

- does it have a calendar overview for watching what days raids are scheduled, am i signed up, am i not (green, red)
- overview for raidleader in calendar for green/red when setup is matched/not matched

I am asking that specific because my guild is currently trying to get away from the one
thread a day system in our forums. which works quite well, unless your guildmates tend to spam/comment/post more then once. Thats when it gets messy and an angry raid leader that has to filter that tread.

Lol yeah we 'used' to have that but I just asked them to keep it simple with a /sign if they were available. They are like kids, love em to bits but they need to be told to not stick their fingers in a light socket once in a while.

Thank you -so- much for this thread.
We've been running with a "post if you're NOT coming and why" system for a while and while it tends to work well when people take it seriously, it doesn't work when people doublepost or just flatout don't.

A dedicated system would work a lot better (and not to mention be a lot neater).
I'm going to give most of these suggestions (RN, in particular caught my eye) a whirl.

Warmath looks very interesting as well, but we use a fairly custombuilt DKP bidding system so a lot of systems that provide DKP counts for us don't work as well as we'd like. >_<

Keep up the great work on the project though, looks awesome.

I've been handling all scheduling manually, which can get pretty tedious at times, especially trying to form the two Kara groups we run (not a set roster, as one group will clear as quickly to Nightbane as posisble for SSC attunement, and the other goes for a regular clear).

Having a statistics page would be fantastic, that summarizes things on one page. The way I do scheduling is I post a roster for the instance, and people respond with Confirmed, Alternate, Unavailable, Arriving Late, or Leaving Early. I prioritize invites in the order of Confirmed, then Alternate, then Leaving Early, and lastly Arriving Late.

Statistics that would be helpful in a mod would be things like % of raids scheduled, % of raids unavailable, etc...

We use phpraid, slightly modified by our resident php-geek/webmaster crew. It works ok, as long as people use it. I'm not in love with the cancellation interface.
